General Terms

When booking or participating in any tour, including related products or services, with Machu Picchu Trip Guide, you are agreeing to these Terms & Conditions. These Terms represent a legally binding agreement between you and the Tour Operator.

These Terms are intended to ensure the smooth running of your tour and the satisfaction of all parties involved. They include important information regarding payment policies, cancellation and refund procedures, health and safety requirements, and other key considerations.

By agreeing to these Terms, you acknowledge that you have read and understood all the information provided and that you are willing to comply with all relevant policies and regulations.

Reservations

When you book a tour and pay the applicable deposit amount, a contract is created and your booking is confirmed. Please carefully review your written confirmation and notify the Tour Operator immediately if any information is incorrect or incomplete.

• The names on the booking must be identical to those on the relevant passport.
• The deposit is completely non-refundable in any situation, with no exceptions.
• To enter the Inca Trail and Machu Picchu, you must present the original passport used for the booking.
• If you renewed your passport, you must bring both the expired passport and the new valid passport.
• Failure to present the required documentation may result in refusal of entry.

Cancellations

Machu Picchu Trip Guide understands that unexpected events can arise. However, the deposit is 100% non-refundable and there are no exceptions to this policy.

If you cancel your tour as the start date approaches, additional costs may be due because many out-of-pocket expenses for arranging the tour are non-refundable to us.

Medical notes or other documentation are not accepted as exceptions to the cancellation policy.

Agreement Letter

Adventure tours involve inherent risks and dangers, including travel in mountainous terrain, remote locations without medical facilities, and exposure to forces of nature. By participating, you agree to assume all risks associated with the tour.

Machu Picchu Trip Guide S.A.C., its employees or agents will not be held responsible for injuries, illness, damages or losses that may occur during the tour.

You understand that delays or changes in the itinerary may occur due to unforeseen circumstances such as weather conditions, accidents or acts of nature. The Tour Operator reserves the right to modify or withdraw travel arrangements when necessary.

• You agree to respect local customs and wildlife.
• You agree to behave in the best interest of the safety of the group.
• You declare that you do not have physical or psychological conditions that could affect other participants.
• You agree to follow the instructions of the guide.
• Machu Picchu Trip Guide S.A.C. cannot be held responsible for lost or left belongings.

Inca Trail and Machu Picchu Tickets and Permits

Inca Trail permits and Machu Picchu tickets are issued in your name and cannot be transferred to anyone else under any circumstances.

• Once a permit has been purchased, it is not possible to change the dates.
• Permits are non-refundable and non-transferable.
• If you cancel your trek, the deposit will be forfeited.
• This is a regulation of the Peruvian government, not a policy established by Machu Picchu Trip Guide.
• If the Inca Trail is closed for safety reasons, an alternative trek will be offered as a replacement.
• If you booked with a student ID, you must bring the same card on the trek.
• Failure to present a valid student ID may result in denial of entry.

Medical Information

You must advise Machu Picchu Trip Guide of any medical problems or allergies. You must be in good physical health, and if your health is questionable, you should consult a doctor.

• If you are over 70 years old, you must provide a current good health medical certificate.
• You are responsible for assessing whether a tour is suitable for you.
• You should consult your physician regarding fitness, vaccinations and medical precautions.
• The Tour Operator does not provide medical advice.
• The Tour Operator may deny participation if your physical or mental condition makes you unfit for travel.
• Pregnancy is considered a medical condition and must be disclosed at the time of booking.
• The Tour Operator may refuse to carry pregnant women over 24 weeks.

Tours and Treks

• All balances must be paid before the briefing held the night before your tour.
• Payments may be made in cash, Visa debit/credit card or PayPal.
• Visa payments incur a 6% service fee.
• PayPal payments incur a 5.5% service fee.
• You must advise your guide if you wish to leave the group or camping area.
• If you experience any problem with the guide or service, inform the guide immediately.
• All adventure treks include transportation to Cusco.
• The return train route depends on train availability.
• If you become ill or injured on the trail, assistance will be provided, but medical and evacuation costs are the trekker’s responsibility.
• No refund will be issued if you are unable to complete the tour due to illness.
• Machu Picchu Trip Guide is not responsible for third-party actions, weather conditions, natural catastrophes, strikes, accidents, illness, injury or loss of personal items.
• The company reserves the right to modify or cancel the program due to unforeseen conditions.
• Group tours may include up to 16 participants.
• Group tours are open to everyone, regardless of skill or age.
• All tours are conducted in English.
